Can an AI receptionist keep patient information private?

Yes, if it's set up carefully, but your practice stays responsible for patient information. FirstVoice never takes card numbers, and you control recordings: export them, set how long they're kept, redact personal details or switch recording off. Call data is covered by a signed Data Processing Addendum and HIPAA Business Associate Agreement with our voice technology provider. Check your obligations under the Health Information Privacy Code 2020.

Is patient call data stored in New Zealand?

No. FirstVoice call data is stored and processed in the United States by our voice technology provider, under a signed Data Processing Addendum and HIPAA Business Associate Agreement. If overseas storage matters to your practice, check your Privacy Act 2020 obligations and mention it in your patient privacy notice before you start.

Should we tell patients an AI answers our phones?

Yes. Patients react badly when they feel misled, and some change practices over it. FirstVoice can open every call with a recording notice, and the AI says it's an AI assistant whenever it's asked. For what the law requires of your practice, check the Health Information Privacy Code 2020 or your professional body.

What does an AI receptionist do if a patient calls with an emergency?

It tells the caller to hang up and ring 111, then flags the call to your team straight away. It doesn't triage symptoms or give clinical advice. On Growth and Scale it can also transfer urgent callers live to a staff member.

Can an AI receptionist give patients medical advice?

No. It books appointments, answers practical questions like fees, hours, parking and what to bring, and takes a message for anything clinical. It never reads out test results. Health questions go to your team, and emergencies to 111.

Will an AI receptionist book into our practice management software?

It depends on the system. FirstVoice books directly into Cliniko and Halaxy. Medtech, PracSuite, Jane, Dentally and ezyVet need partner access from the software company, so until then calls are captured and summarised for your team. Each integration page shows exactly how it connects.

Will older patients cope with an AI receptionist?

Most can, but some older patients prefer a person, and voice AI can mishear strong accents or unusual names. FirstVoice takes a message rather than guessing, and on Growth and Scale it transfers callers who ask for a person. If many of your patients are elderly, start with after-hours and overflow calls.
